How to Acquire a REDCap License

Introduction

REDCap is available for free to any non-profit institution. The institution is required to sign a license agreement, thereby joining the REDCap Consortium.

Once an ADRC has a REDCap license and has set up their REDCap instance, they will be able to import the UDSv4 template project into their REDCap instance.

Step-By-Step Guide

See if your institution already has a REDCap license

  1. It's possible your institution already has a REDCap license. First check the REDCap Consortium Partners webpage to see if your institution is listed.

  2. If your institution is listed, click the 'view collaborators' link to see the names of the REDCap Administrators.

    a. Email the REDCap Administrator to inquire about the use of the REDCap instance for your ADRC.

Review REDCap Requirements

  1. While REDCap is free, the support required to run REDCap is not. Your institution will need to make sure it has the in-house resources needed to support a REDCap instance. Note: third-party collaborators are not allowed. In other words, you cannot hire a contractor to manage the technical aspects of running the REDCap installation. Review License Terms

  1. License terms can be found on this webpage. Note the license holder, Vanderbilt University, will not accommodate any changes to the license.

Take Eligibility Survey

  1. When you are ready to sign the license, an authorized signatory from your organization will first need to complete an Eligibility Survey. If your organization qualifies, the survey participant will immediately be taken to the License Agreement. Reasons for disqualification include:

    a. Organization is not a non-profit.

    b. Person completing the survey is not an authorized signatory of the organization.

    c. Person completing the survey indicates the organization does not have internal IT support.

    d. A REDCap license is already held by the organization.
